Brussels runs on meetings. Every week, delegations arrive for committee sessions, working groups, study visits and summits, and every one of them has to get from the airport to a hotel, from the hotel to the European Quarter, and back out again on time. That is the part we take off your hands.
We drive for permanent representations, embassies, EU institutions, trade associations, law firms, think tanks and the event agencies that work for them. Some clients need one minivan for an ambassador and a small team. Others need eight coaches running a fixed shuttle for three days. We handle both from the same office in Brussels.
You get one point of contact, a written transfer schedule before the programme starts, and a phone number that is answered during the programme itself. Vehicle and driver details are supplied in advance whenever a venue needs them for accreditation.
The European Quarter around Schuman is not an easy place to drop off fifty people. Streets are narrow, several are one way, and during summits the police close roads at short notice. We plan a set-down point that keeps the walk short and keeps the coach out of the streets where it does not belong, then park outside the centre until the group is ready to move again.
NATO Headquarters sits on Boulevard Leopold III in Haren, just over a kilometre from Brussels Airport. Visitors report to the Pass Office at the South Entrance and parking on the site itself is limited, so we set down at the gate and hold the vehicle nearby. Your driver carries the passenger list and stays reachable for the whole visit.
SHAPE is a different trip altogether. The base at Casteau lies roughly 70 kilometres south west of Brussels, off the E19 and E42. Visits have to be requested from SHAPE well in advance, usually at least seven weeks, and the day itself needs an early departure to allow for morning traffic on the Brussels ring. We build the schedule backwards from your appointment time, not forwards from the hotel.
Institutional work has requirements that ordinary group travel does not. We supply vehicle registration numbers and driver details in advance for site accreditation, keep the same driver on a programme wherever the schedule allows, and treat passenger lists as confidential. Drivers do not photograph groups and do not discuss who they carry.
For larger programmes we agree in advance what happens if something goes wrong: which vehicle stands by, who calls whom, and how a delayed flight or an overrunning session is handled. Most of the value of this service sits in that half hour of planning, not in the drive itself.
A two-person ministerial transfer and a 400-guest shuttle need very different vehicles. Our fleet covers both ends.

Yes. Since 1 January 2026 diesel coaches need Euro VI to drive anywhere in the Brussels-Capital Region, at any hour, and our fleet meets that standard. Fines of 350 euro have applied since 1 July 2026, so it is worth asking any operator this question before you book.
We do. SHAPE lies about 70 kilometres south west of Brussels near Mons. Access has to be arranged with SHAPE by the visiting party, normally several weeks ahead. Once you have a confirmed appointment time, we plan the departure around it.

For a single transfer a few days is usually enough. For a multi-day programme, a summit week or anything involving several coaches at once, book as early as you can. Brussels sells out quickly during peak conference weeks.
